The Vendor is required to provide a comprehensive solution to address provider documentation burden through ambient artificial intelligence (AI) powered speech-to-note generation.
- Implement an advanced ambient documentation tool that leverages Artificial Intelligence (AI) cutting-edge speech recognition and natural language processing (NLP) technologies in the ambulatory and Department settings.
- This initiative is to streamline clinical documentation processes, reduce the administrative burden on clinicians, and enhance overall patient care delivery.
- This strategic move will also promote equity in documentation assistance across the organization, ensuring that all providers have access to this advanced technology (as opposed to the minority of the medical staff currently using scribes).
- Clinical care in the following domains:
• Enhance Clinical Workflow Efficiency and Improve Clinician Satisfaction: Reduce clinician administrative and cognitive burden, and after hours (“pajama time”) work, with the goal of decreasing clinician burnout and enabling greater focus on patient care.
• Ensure Data Accuracy and Compliance: Deliver high-quality, error-free documentation that adheres to privacy/regulatory standards, optimizes documentation opportunities to enhance revenue, and integrates seamlessly with our Epic Electronic Health Record (EHR).
• Support Scalability and Interoperability: Offer a solution to be utilized across multiple departments and facilities, integrating with both current and future health IT infrastructure.
• Drive Patient-Centered Care: Enable clinicians to engage more meaningfully with patients by reducing distractions related to manual documentation, enhancing face-to-face interaction and listening. Creating easily understandable notes and visit summaries, to improve patients’ comprehension and engagement with their healthcare.
• Continuous Innovation and Value Creation: Continuously expand AI assisted capabilities beyond documentation (such as chart review, order entry, and revenue enhancement tools), to drive efficiency, innovation, patient centeredness, and long-term value in clinical workflows.
- Problem statement: survey data from agency medical staff highlights that documentation burden and after-hours charting are key contributors to clinician burnout.
- Current tools, such as traditional dictation and scribes, do not sufficiently address the problem, with scribes being cost-prohibitive and therefore accessible to only a minority of clinicians.
- Enhance clinical workflow efficiency by reducing time spent on manual documentation through accurate, real-time transcription.
- Improve clinician satisfaction by minimizing administrative and cognitive burden, enabling providers to focus on patient care, and reducing burnout.

- AI Models & Guardrails
• Vendors must provide clear and transparent information about the AI models that power their solution, including speech recognition and note-generation capabilities, and how these models are optimized for clinical use.
• Solutions must include robust guardrails that:
o Minimize unsupported or inaccurate content.
o Provide traceability so clinicians can understand and verify outputs.
o Ensure data privacy by excluding protected health information (PHI) from model training.
• Vendors must make available transparent performance metrics that are clinically relevant and validated. At a minimum, vendors should:
o Demonstrate how performance compares to recognized industry benchmarks and peer solutions.
o Provide evidence that accuracy and reliability hold across diverse specialties and care settings.
- User Application Features
• Required immediate (less than two minutes) note and patient visit summary generation.
• Required immediate clinician access to transcripts and recordings, with ability for feedback on notes through a clear interface available at the point of care.
• Require unique settings for various specialties, for example, pediatrics, emergency medicine, neurology, oncology, and behavioral health.
• Require customizable settings to adapt to clinician style preferences (specifically must include “concise” or “expanded” styles and ability to upload custom physical examination templates)
• Required capability to listen in at least 20 foreign languages with final note generation in English.
• Required incorporation of prior note context.
• Required functionality to redraft note different customized settings within an easily accessible interface post recording.
• Required ability for users to give feedback on every note at the point of care.
• Require that note feedback is reviewed and utilized for product improvement.
• Require ability to integrate with Epic’s “Diagnosis Aware Notes” (DAN).
• Require utilization of Haiku application for use of ambient documentation on android and iOS operating systems.
• Require Speech to text functionality as a tool for note generation, with advanced features, such as voice-enabled macros, so that it may replace our current voice dictation software.
• Required functionality to add recording after note generation.
• Required predicted problem (suggested visit diagnosis) functionality.
• Order entry assistance for both medications and procedures.
• Billing and coding including HCC capture and ambulatory CPT coding
• Multi-party recording on a single encounter, to support multi-disciplinary team-based care.
