The vendor is required to provide property management services to manage the day-to-day operations, rental administration, and facility oversight of agency.
• Soundstage rental coordination: administer all aspects of the rental process including tours, inquiries, contracts, rate cards, deposits, and access control.
• Facility access management: oversee key and fob distribution, manage building access permissions, and maintain control systems in collaboration.
• Tenant onboarding and offboarding: conduct walkthroughs before and after lease agreements, ensuring proper documentation and condition reporting.
• Maintenance oversight: coordinate cleaning services, HVAC maintenance, and other building systems via Archibus to ensure operational efficiency.
• Parking lot management: allocate and monitor tenant parking, address related issues, and ensure compliance with building policies.
• Stakeholder liaison: act as the primary point of contact for agency, distributing building-wide communications and coordinating permissions.
• Tenant relations: provide ongoing support to tenants with regards to their rental agreement, resolve conflicts, and manage service requests in a timely and professional manner.
• Emergency response: be available for urgent tenant or building-related issues, ensuring swift and effective resolution.
• Compliance and expertise: ensure adherence to relevant building codes, tenant laws, and safety regulations; provide expert guidance on property management matters.
• Building improvement identification: monitor the facility for potential upgrades or improvements and report recommendations to stakeholders.
• Documentation and reporting: maintain records of rental activity, service requests, tenant communications, and building updates; provide regular reports to agency.
• Contract and financial administration: prepare and manage rental agreements, rate cards, and damage deposit transactions in accordance with organizational policies.
