Audio Visual Services

The vendor is required to provide a full audio-visual (AV) solution, and installation, for the Mabel Davis boardroom, allowing for hybrid meetings, live streaming capabilities and video recording for on-line users.
• Multi-camera set up to provide video coverage of the full room. 
• Mounting options on the walls are expected, exact configuration dependent on the recommended solution. 
• Camera controller with presets for position and zoom and focus and ability to control multiple cameras. 
• Leveraging ai support will be factored into the scoring for this proposal. 
• Conferencing soundbar with multiple conference table microphones (or equivalent solution) to capture sound for 25 participants around the table. 
• New speaker set up to ensure improved sound throughout the boardroom, integrating well with the microphones. 
• A four (4) input (minimum) video mixer with audio processing and separate output for preview monitor and live monitor and output. 
• The ability to stream directly from the mixer and to record onto a removable media is expected. 
• Multiview preview monitor and output monitor, 14” to 21” screen size. 
• Podium microphone with feed directly to the video mixer. 
• Some form of storage or security feature to protect and store equipment in the boardroom, while not in use. 
• Installation of wall jacks and cabling to required locations (working with our director of it). 
• Network infrastructure will be provided where needed. 
• Replacement of existing video cabling to projector to conform to the new equipment standards. 
• Provide recommendations in a written report, for A/V improvements for the boardroom at the Scanlon creek operations center (basic boardroom design). 
• This would involve an on-site meeting (post-award) with key users. 
• Operator training sessions (maximum of 2 hours) and startup/shutdown procedure sheet. 
• Support services (up to 4 hours maximum) in the first 6 months after installation.
