The vendor is required to provide for audio and visual equipment for agency council chambers, court services and various agency facilities as requested by the representative of corporate audio-visual services (the “region representative”) and must be available between 7:00am – 4:30pm Monday to Friday (“working hours”).
- Any changes to audio video equipment system programs shall be provided to the region in an uncompiled format, along with any passwords required, and shall include documentation of the changes on a USB memory stick.
- Monthly reporting
a. Issue resolution summary
• Details of issues - a comprehensive list of all audio-visual issues encountered during the month.
• Resolution actions - description of the actions taken to resolve each issue.
• Response times - time taken to respond to and resolve each issue.
b. System changes and updates
• Changes implemented - description of any changes made to audio-visual systems, provided in an uncompiled format.
• Documentation - inclusion of any passwords and documentation of changes on a USB memory stick.
c. Programming activities
• Summary - programming tasks completed by staff programmers or subcontracted programmers certified Crestron, Extron, Biamp, and Televic programmers.
• Issues and resolutions - any programming issues encountered and how they were resolved.
d. Inventory and replacement parts and equipment items
• Parts and equipment items used - list of parts and equipment items used from the region’s inventory.
• Quotes provided - details of any quotes provided for parts not available in the region’s inventory, including costs and delivery dates.
• Testing and verification - results of testing and verification of installed parts and equipment.
