The Vendor is required to provide for audio visual installation and repair and maintenance services.
- Provide for maintenance and upgrades to existing audio visual systems as well as developing needs for new installations of audio visual systems.
- The Library’s community meeting rooms and auditoriums conducts various types of educational and entertainment events such as movie shows, community meetings, tutoring classes, and musical performances.
- The general audio and video setups in these spaces may include but not limited to the following:
• Ceiling mounted projection system
• Wall mounted LCD screen
• Automated or manual presentation screens
• Wall inputs for HDMI/VGA/3.5 mm jack/XLR jack
• Ceiling or wall mounted speakers
• Hand held microphones (wired/wireless)
• Wall mounted input source control panel.
- Provide to plan and execute new installations, retrofit existing audio and visual systems by assessing the existing set-ups, recommending equipment and space upgrades and designing upgrades including accessibility requirements, Firms should have the capability to work on older systems and to design upgrades and new systems.
- Firms should be able to provide all required equipment, provide all required professional services and to provide all labor including labor that is subject to prevailing wage.
- Firms are to be able to maintain and service new and existing systems.
- Work with the Library to keep the audiovisual equipment in good operating condition by providing service and maintenance, as required by system issues, failures, or malfunctions.
- Provide some or all of the Following Services:
• Design, support, drawings, related CAD services, specification recommendations and reconfigurations.
• Sales of audio and visual components, delivery, inside delivery and installation.
• Project management, including but not limited to managing multiple deliveries and installations, space planning, warehousing and storage and project coordination.
• Manage all aspects of the project through a single and consistent manager from scheduling to turnover to invoicing.
• Track and coordinate all manufacturer invoices for payment rather than each manufacturer contacting the library directly.
• Conduct field walkthrough and inspect of all items (regardless of manufacturer) prior to closeout and submission of payments claim.
• Cleanup of site/areas post-delivery/installation
• Maintenance and repair services for existing hardware
• As required, removing audio and visual equipment for storage in cases where the space is scheduled to undergo structural renovations.
• Provide professional service labor and labor that is subject to prevailing wage and other labor that may not be subject to prevailing wage.
- Provide professional services such as design, support, drawings, related CAD services, specification recommendations and reconfigurations and project management and space planning.
- Contract Period/Term: 2 years
