The vendor is required to provide sound audio visual, and staging services event features live performances, presentations, and student- and community-led activities; and requires comprehensive production services, including sound, audio-visual, and staging support.
- Vendor will supply, install, and operate all required equipment for sound, audio-visual, and staging across the three-day event.
- Examples of anticipated equipment and services include, but are not limited to:
• Sound production: pa systems, vocal and instrument microphones, audio mixing consoles, and sound engineers.
• Audio-visual (A/V): led screens, video cameras for live feed, projection systems, and A/V technicians.
• Staging: modular stage platforms, access ramps, stairs, safety railings, drapery, backdrops, rigging and truss systems, lighting, and crew for setup and operation.
• Parade: speakers, crank stands, wireless microphone, rack and mixer, and mode to play information (tablet).
• Academic events: microphones (wired and wireless), mc podium, speakers, rack and mixer.
- The first two days are dedicated to honoring district volunteers and staff, while the third day welcomes
- Thousands of community members for performances, exhibits, and interactive displays created by and for the vail community.
• Day 1 – volunteer appreciation luncheon: indoor event with approximately 600 attendees.
• Day 2 – staff appreciation luncheon: indoor and outdoor event with approximately 2,200 attendees.
• Day 3 – main event: indoor and outdoor event hosted across multiple indoor halls and outdoor spaces with approximately 15,000 attendees.
