The vendor is required to provide security services 24/7 unarmed at the agency campus, specifically monitoring access control, video surveillance, and intrusion detection.
- Security services will cover the entire campus, excluding the triplex housing units.
- Service hours
• Provide security services on a continuous basis, twenty-four (24) hours per day, seven (7) days per week, including all statutory holidays.
• Notwithstanding the foregoing, polar reserves the right to reduce the required security coverage by up to, but no more than, ten (10) hours per day.
• Polar will advise the contractor in writing of any such reduction with a minimum of ninety (90) days’ notice.
• Upon receipt of such notice, the contractor must adjust staffing levels and service schedules as necessary to comply with the revised service requirements.
- Daily tasks
• Security patrols: conduct exterior campus patrols and interior MRB and field maintenance building (FMB) inspections, ensuring the security of all the building access points.
• Building access control: unlock and lock all designated building exterior doors (fewer triplex units) in accordance with the schedule (to be provided by polar);
• Campus surveillance: monitor security television cameras and footage for any suspicious activity or security breaches.
• Keys and passes: issue and receive and secure triplex unit keys for arriving and departing visitors.
• Collect and securely store temporary access passes returned by departing visitors at the front security desk.
• Security log: complete and update the daily security log, documenting all activities, patrols, incidents, and any security-related events throughout the day.
• Ensure all entries are accurate, clear, and completed in a timely manner.
• Handover: conduct a thorough handover, including the transfer of keys and access cards, as well as a review of the daily log and incident reports (if applicable).
• Visitor assistance and information services: provide general information resources to polar employees, visiting researchers and scientists, and members of the general public attending the agency campus in the public space of the main research building (MRB)
• Customer service: provide excellent customer service by promptly addressing inquiries, assisting visitors, and ensuring a positive experience for all polar employees, researchers, and guests at the agency campus.
• Ensure professionalism, courtesy, and responsiveness in all interactions.
