The vendor required to provide supply and installation of street closed-circuit television (cctv) system to monitor key intersections and roadways.
1. Supply and installation
• Source, deliver, and install cctv cameras at designated intersections and roadway locations.
2. Network and system integration
• Provide a secure network solution enabling live and recorded video to be viewed at the port hope police service office.
• Supply and configure the operating system and software required for video monitoring, playback, and management.
• Ensure that adequate internet service is available to manage multiple streams of video for the purposes.
• The office of the port hope police currently has 200mbps internet service.
3. Data management
• Implement sufficient data storage and retention capabilities to meet the specified retention period.
• Ensure compliance with applicable privacy and security requirements.
4. Training
• Provide comprehensive training to ensure all designated police department personnel can proficiently operate the cctv video management system (VMS), retrieve recordings, and manage evidence in accordance with law-enforcement standards.
• Deliver training before system acceptance and prior to go-live operations.
• Supply all required materials, including manuals, handouts, digital guides, and quick-reference sheets.
• Provide training at times compatible with shift personnel and operational demands.
5. Maintenance and support
• Provide one (1) year of maintenance and support for the complete cctv system, included in the lump sum pricing for deliverables.
• This coverage must include all hardware, cameras, mounting equipment, software support, corrective and preventative maintenance, and adherence to the service level agreement (SLA) requirements.
• Proponents are required to provide pricing for three (3) additional years of maintenance and support as a provisional item.
• This pricing will be considered in the evaluation but will not obligate the municipality to proceed with the provisional item.
• All maintenance services, whether included in the lump sum or provisional, must be performed in accordance with the municipality’s requirements for corrective and preventative maintenance, SLA response times, and approval of subcontractors.
6. Warranty
• A minimum 12-month warranty on all equipment, parts, and labor from the date of system acceptance.
• A minimum 3-year manufacturer’s warranty on cameras, servers, and storage devices if.
• Warranty coverage including:
o Defective parts replacement
o Software defect correction
o Firmware and patch updates
o Remote troubleshooting and support
• No-cost replacement for any component that fails under normal use during the warranty period.
7. Project completion
• Complete all deliverables, including supply, installation, training, and commissioning, such that the cctv system is fully installed, tested, and operational no later than march 31, 2026 or mutually agreed upon by the municipality and successful proponent.
