The vendor is required to provide purchase supplemental workers' compensation independent medical exam scheduling services for usage by the state department on a “as needed, if needed” basis.
- The capability of providing a full range of independent medical exam, file reviews, and impairment rating scheduling to those individuals referred by the state agency.
- Review referral within 24 hours of receipt and contact the referring analyst to discuss time frames for the appointment, potential physicians and/or any other pertinent information.
- Coordinate with all parties as appropriate to schedule the exam or medical record review.
- Mail out the appointment notices via certified mail to the injured worker or their legal representative.
- Email a copy of the appointment notice to the claims analyst.
- Verify if there is a need for an interpreter/translator and notify the claims analyst for approval to schedule with a state contracted vendor.
- May be asked to assist in scheduling lodging, airfare, and our transportation by the claims analyst; all lodging, travel and airfare shall be scheduled with state contracted vendors within the limits stated in the state accounting manual, which shall be provided at the time of the request.
- Review file material in detail; arrange the material in date order and provide a summarization of the events, diagnoses, treatments, studies, therapies, etc., pertinent to the line of coverage applicable.
- Complete the purpose letter and send it to the claims analyst for approval.
- Be responsible for sending the medical records, the completed summary of medical records, and the approved purpose letter to the physician in a timely manner.
- Request clarification from physicians when asked by the claims analyst.
- Maintain security over all records, reports, and related material and shall release such information only in a manner authorized by the state agency
- Bilingual services
• Separate from the independent medical exam scheduling services, the contractor shall utilize a state contracted translation service to provide translation, as requested and approved by the claims adjuster; agency may schedule this service.
- Deaf and hard of hearing services
• Separate from the independent medical exam scheduling services, the contractor shall utilize a state contracted interpreter service to provide interpretation, as requested and approved by the claims adjuster; agency may schedule this service.
