The Vendor is required to provide full-service certificate-of-insurance (COI) tracking solution.
- The Engineering Department has approximately 330 active contracts with 101 Contract Holders with insurance requirements.
- It is estimated that 50 – 60 new contract awards are made annually that require COIs.
- Provide licensed insurance professionals to review any certificates that are flagged as noncompliant in the event that a certificate is reviewed by the system and is deemed to not have the correct coverages.
- Clearly indicate the status of a COI in a system that is easily accessible for District personnel to verify (e.g., requested, received/in-review, deficient- second request, escalated, accepted, etc.)
- Have an application programming interface (API) or other ability to integrate with other software as needed.
- Indicate the process for quality assurance/quality control used and if any human intervention is used.
- Create and maintain multiple insurance profiles that can be updated as needed. The insurance profiles should define what coverage and limits of insurance are required for each type of contract.
- Collect and track, when required, additional insured endorsements, per project aggregate endorsements and waiver of subrogation endorsements.
- Have the ability to attribute multiple COIs to one purchase order or agreement.
- Verify COIs on file for each active contract are compliant with contract insurance requirements.
