IT Deployment Services

The Vendor is required to provide deployment services for approximately 900 – 1,000 laptops and accessories (carrying cases, monitors, monitor arms, where applicable, docking stations, wireless keyboard/mouse, wireless headphones, and laptop stand).
- Responsible for imaging, application installation, logistics, deployment, testing, and reporting. 
- This project is mission-critical to ensure that City employees have secure, properly configured and fully functional equipment within the designated timeframe.
- Undertaking a large-scale device refresh to enhance workforce productivity, security, and standardization of end-user devices.
- Pre-Deployment Activities
•    Submit a comprehensive Project Plan within five (5) business days of award using an agreed-upon project management tool (e.g., MS Project/Planner, Smartsheet etc.).
•    Develop deployment logistics including site scheduling, equipment staging, and communication.
•    Coordinate with office to finalize imaging and application requirements.
- Deployment Activities
•    Image laptops with City-approved baseline.
•    Install applications, including:
o    DUO MFA client
o    Microsoft Office 365 Suite
o    Other City-identified customer applications
•    Deliver and deploy laptops and accessories to City employees at designated sites.
•    Perform user acceptance testing (UAT) during deployment to confirm:
o    Correct configuration
o    System tools functioning
o    Access rights established
o    Applications available and operational
•    Retrieve old devices from city employees.
- Reporting and Meetings
•    Maintain daily/weekly/monthly deployment metrics.
•    Provide a written status report weekly.
•    Hold weekly status meetings with office to review progress, issues, and next steps.
•    Provide a final deployment report summarizing activities, issues, resolutions, and completion metrics.
