The vendor is required to provide administrative management services for include:
• Review, edit, and manage annual trust notice of funding availability (NOFA) process.
• Review and prepare trust loan documents and closings.
• Coordinate with trust lobbyist to promote trust goals with state and federal legislative officials and staff.
• Review, research, and apply for funding from existing and new public and private funding sources and programs, in line with the trust mission.
• Manage approved funding disbursements and required compliance monitoring of both capital and administrative grants.
• Coordinate with trust board to establish and update annual and long-term strategic plans.
• Prepare and coordinate with county memorandum of understanding (MOU) departments for drafting of the trust board meeting agenda items and presentations.
• Prepare and coordinate with departments on all competitive bidding proposals for consultant and professional services and provide recommendations to the trust board (e.g., financial, auditing, marketing, advocacy, insurance).
• Locating and reviewing responsive records and responding to record requests under the state public records act.
• Recommend to the trust board various policies and procedures for various compliance monitoring for Trust funded projects and establish policies and procedures upon direction from the trust board.
• Manage and update the trust website.
• Coordinate with trust board and implement trust board directives regarding public relations and strategic communications.
• Other duties and assignments as requested by the trust board and through the trust chair.
- Contractor responsibilities:
• Contractor shall discuss all required services to be performed with the trust chair or key designated personnel prior to the start of work.
• Contractor shall perform all necessary work in a professional manner and notify the trust chair or designee upon project completion.
- Change management:
• No changes to an approved request for services shall be permitted without a change request in writing submitted by the contractor and approved in writing by the trust board.
- Communication management
• All communication for any work performed in this contract will be directed to the trust board through the trust chair
- Trust responsibilities
• The trust board, through its trust chair or designee, shall assign, review, and approve
all contractor services in this contract.
• Trust will provide meeting facilities, as needed.
- The annual budget for these services is approximately $100,000-$150,000.
- Contract Period/Term: 3 years
