The Vendor is required to provide to help our library cooperative move from a distributed system for collection management and technical services (where each library performs these functions independently) to a centralized system.
- The new system will involve agency managing all aspects of digital collections and the selection, ordering, acquisitions, cataloging, processing, deselection, analysis, sorting, and distribution of the majority of physical materials in the cooperative.
- Attending and facilitating meetings and work sessions
• Virtual meetings on various platforms (teams, zoom, etc.)
• On-site meetings and/or assessment walkthroughs at least once at all 17 locations in the cooperative (16 library locations plus library offices & warehouse) in county
• Attending regular check-ins with library leadership and the project team
• Facilitating collaborative design processes, focus groups, and 1:1 listening sessions with stakeholders
- Evaluating, constructing, and refining library workflows
• Designing for simplicity, efficiency, scalability, and flexibility
• Rooting processes in established best practices for large county systems and professional library standards
• Prioritizing community need and access
- Creating and revising documentation and tools
• Policies (collection development, circulation, cataloging, etc.): review existing policies, provide analysis and recommendations
• Workflow descriptions and procedures (for selection, acquisitions, cataloging, classification, processing, collection maintenance, materials movement, etc.)
• Templates for standardizing library processes (classification, processing, ordering, cataloging, acquisitions, etc.)
• University templates for possible agreements between library, partner agencies, and other organizations
• Draft proposal criteria for selecting suppliers for library materials, supplies, services, etc.
• Site profiles of library and library locations that include collection maps, classification schema, facility specifications, library service priorities, service population data and descriptions, usage data, locally maintained collections, key contacts, workflow descriptions, local policies, and local strategic/long range plans
- Collecting, analyzing, and reporting data
• Receiving qualitative stakeholder data from library
• Receiving ILS, digital collections, financial, and other necessary data from library
• Receiving data on comparable library systems, provided by library for creating Benchmarks
• Collecting and analyzing qualitative data from stakeholders through direct engagement, observations, and surveys/forms
• Collecting and analyzing additional quantitative data from library and libraries that informs workflows and decisions (including linear feet of shelving, local metrics, inventory counts, finances, door counts, etc.)
• Collecting and analyzing community data to inform collection and access decisions
• Working closely with the library data analyst on systems for ongoing data collection, reporting, and analysis
• Creating visualizations from data
• Developing KPIS for evaluation and other metrics for analysis and decision-making
- Creating and delivering presentations and reports
• Synthesizing large volumes of complex information into summaries and recommendations that can inform library and cooperative decision making
• Utilizing visualizations and adapting to the audience for effectiveness
• Providing regular status reports for stakeholders on the progress of the project
- Managing and supporting projects
• Creating a project plan with desired outcomes, success criteria, and timelines
• Setting and following a schedule for monitoring and supporting project processes
• Communicating project updates frequently to stakeholders
• Using proven methodologies for managing projects.
