The vendor is required to provide that photography services for agency and academy high school students for up to three (3) school years beginning with the 2025/2026 school year.
- Pricing for senior portraits at photographer studio, if the student so chooses.
- Senior portrait photographs must be given to the district in jpeg format for printing in the yearbook.
- Proposals should provide for photographing of faculty and staff with these photographs being provided to the school at no cost to the district.
- If requested, the school is provided with a photograph of the entire school and/or senior body on the football field for printing in the yearbook.
- All athletic teams
- Underclass pictures.
- School identification cards for students and staff.
- Group pictures for all clubs.
- A minimum of one set of class and/or event photographs for the administration at the respective school at no charge to the district.
- Flash drive and shared cloud store folder providing passport-type student images and information indexed to corresponding student identification number(s) in a jpeg format available as a stand-alone software program and/or to be downloaded into school databases.
- Student photography including at school-sponsored, special and other events scheduled by the administration, without obligation for purchase and at no charge to the district.
- Submission for review by the administration of any materials that must be distributed to students, parents and guardians.
- Order forms and packages which are to be distributed must be complete, easy to understand and use, and provide a local or toll-free telephone number and business hours at which the provider can be reached.
- The price of the package that may be purchased must be clearly printed on remittance envelopes.
- Options for lower priced packages should also be provided.
- Parents and guardians must be able to call the provider’s representative, not the school, with any questions about pictures.
- Photographic sessions (dates and times) are to be arranged between the photographer and the school principal to their mutual satisfaction.
- A minimum of one “make-up” opportunity for students absent when photographs are taken or for any student dissatisfied with photographs. retakes must be at no additional cost.
- The offering for purchase by students of a minimum of three photography packages as specified by the provider but without obligation for purchase.
- “No questions asked” return policy.
- Information regarding in school, low cost/no cost offerings by the vendor for disadvantaged students so no student is precluded from participating in portraits, if they so choose
- references and contact information of schools/districts that the bidder has contracted with, which can serve as references for their work.
- All money collection and paperwork associated with school photography is to be handled by the proposer; specifically
• Collection of all remittances is to be handled by the photographer exclusively. no funds will be handled by the district, students or personnel at any time or in any manner.
• The photographer is to be responsible for all late or unreturned remittances or photo packages
• Reorders for additional pictures are to be handled by the photographer, solely.
• The district is in no way to be held responsible for lost packages, funds, equipment, materials or supplies belonging to the proposer.
• A certificate of insurance indicating that any equipment or funds collected, yet still on school premises, are adequately covered may be required.
