Special Event Photography Services

The vendor is required to provide photography services to record them for promotional and historical purposes.
- Requirements
1. Student photos
• The service provider should capture a minimum of 1-2 quality photographs per student
• The specific location(s) of the photographs will be determined in consultation between the service provider and the event coordinator prior the ceremony
• These photographs will be made available for purchase by the shot and/or in packages to the students
• As a minimum, the service provider must offer the following packages:
a. One (1) pose in electronic format
b. All poses in electronic format
c. All poses in electronic and 3 additional sheets
• The service provider must prepare and deliver student proofs within 2 weeks of the ceremony and deliver students orders with 7 days of their order.
• University requires a photographer to capture photographs of each student during the ceremony
using a photo booth type set up is allowable, with back up options.
• One (1) pose in electronic format sent to student immediately or within an agreed upon number of days following the ceremony and follow up support for re-sending photos.
2. Photo booth services
• University has also recognized a need for photography services for the students after the ceremony.
• At this time, students are walking around and viewing potential convocation memorabilia.
• University would like to have a photo background, which university will provide, at the service provider’s booth where graduates and their families/friends can have the service provider take their photos.
• These photos would be made available to purchase at the booth and, if possible, be printed at the booth so the students can have the photos instantly and/or have the students emailed a link where they can immediately view their photos and purchase them via the link.
• One photographer will be needed for this service and will need to be set up and available after the ceremony has concluded. this service will be offered by the service provider at no cost to university.
3. Other special event photography
• University may also require photography and videography services to commemorate other events.
• These events could include sporting events, academic celebrations, and private functions
