The Vendor is required to provide event management services at the city.
- Third Party Event Rentals
• Marketing and promoting available event space for rent,
• Handling on-site showings and tours to prospective rental clients,
• Filtering leads and requests,
• Coordinating all permit applications,
• Ensuring scheduling doesn't interfere with other city events including maintaining of events on city event calendar,
• Providing cost estimates and having user execute a use agreement (on the form provided by the city),
• Ensuring required insurance is obtained and providing evidence of such insurance to the city,
• Managing storage,
• Providing booking/client management software,
• Maintaining staffing to oversee all aspects of event/use of space,
• Managing all vendors associated with the vent/use of space and,
• Coordinating ancillary services (security, janitorial, etc.), as required.
- Event marketing and management
• Event planning and execution to include securing vendors
• Asset creation (event logo, graphics, flyers, etc.)
o The city marketing team will provide input from a brand standard perspective
o Final approval of all creative assets will be provided by the city manager prior to publication or distribution.
- Contract Period/Term: 2 years
