Promotional Items Services

The Vendor is required to provide to obtain the largest catalog of promotional items possible, ranging from standard printed ink pens to custom embroidered clothing and everything in between.
- Items provided under previous awards include, but is not limited to pens, notebooks, 12-pack can coolers, insulated water bottles, polo golf shirts, and leather debossed imprinted pad folio, embroidered backpack, embroidered scarf, and printed socks.
- Catalog items must be able to be imprinted or embroidered with the participating agency logo, ordered as needed, and delivered in the shortest turnaround time possible during the contract period.
- Artwork Proofs and Graphic Design Work
•    The department representative must approve the text and artwork of each item prior to production.
•    Electronic submissions of proofs shall be provided by the vendor.
•    Production shall not begin until the project manager provides written approval of the proof.
•    Item imprints may change with orders; the project manager will direct the vendor on the required imprint.
•    Must perform graphic work as needed, including logo mock-ups and necessary embroidery.
- Samples and Pre-Production Proofs
•    After the contract award, vendor may be required to provide a random sample at no cost to ensure product quality.
•    For some orders, a pre-production proof may be required to ensure accuracy in printed information.
•    Vendor must provide an estimate for the pre-production proof cost, including item cost, decoration, and shipping, for pre-approval.
- Copyright and Intellectual Property
•    All artwork, designs, and logos provided to produce promotional items remain the exclusive property of the proprietary participating agency.
•    Vendors are prohibited from using, reproducing, or distributing artwork, designs, and logos for any purpose other than fulfilling the contract requirements without prior written consent from the affected participating agency.
