The Vendor is required to provide of supplying a wide variety of promotional products, branded apparel, signage, and graphics to departments across agency 26 campuses, the University Student Senate, and affiliated programs.
- These departments and programs host numerous events throughout the academic year, during which promotional items are distributed to support agency marketing, branding, and outreach initiatives.
- General promotional items (e.g., apparel, signage, giveaways, branding, catalog integration, sustainability requirements), Proposers must also be capable of supplying a broad range of athletic promotional items and team merchandise for use by agency eight (8) colleges with sports programs.
- Product Offerings
• At a minimum, product offerings must include, but are not limited to:
• Apparel – t-shirts, polos, sweatshirts, jackets, caps, and other wearable items in a variety of styles, sizes, and colors.
• Bags and accessories – tote bags, backpacks, laptop sleeves, and travel accessories /
• Drinkware – mugs, water bottles, tumblers, and other beverage containers.
• Stationery and writing instruments – pens, pencils, notepads, sticky notes, planners, and binders.
• Event materials and giveaways – banners, tablecloths, lanyards, name badges, and promotional handouts.
• Technology items – usb drives, earbuds, chargers, and other branded tech accessories.
• Awards and recognition products – plaques, trophies, and commemorative items.
• Outdoor and specialty items – tents, signage, umbrellas, lawn chairs, and seasonal items.
• Sustainable product lines – eco-friendly products made from recycled, recyclable, or responsibly sourced materials
- Athletic Promotional Items
• Apparel: performance shirt, shorts, warm-ups, hoodies, caps, socks, jerseys (practice and game), and outerwear.
• Team merchandise: water bottles, sports bags, towels, pennants, fan gear, banners.
• Customizations: embroidery, screen printing, numbering, names, and approved college logo application.
- Order Fulfillment and Catalog Inventory Management
• Provide an annual catalog of available items and pricing.
• Maintain a catalog of agency standard items for quick reference and re-ordering.
• Clearly provide item specifications such as:
• Production and lead times
• Dimensions
• Imprint area and methods
• Packaging details
• Item weight
• Annual or catalog pricing
• Offer sample items for review prior to final order placement.
• Promote new products, sales, and bulk opportunities to agency throughout the year.
- Branding & Customization
• Provide product mockups with agency logos for the office review and approval.
• Offer customization of products and imprint color options.
• Retain approved versions of agency logos for repeat orders (e.g., pens, pads).
• Support electronic transfer of artwork to manufacturers, suppliers, or distributors.
• Coordinate with office for review and approval of physical proofs for new items.
- Customer Service & Support
• Assign a dedicated point of contact to serve as the primary liaison to agency.
• Provide timely updates and support regarding orders, availability, and delivery.
• Offer gift-wrapping and special imprinting services to select events or requests.
• Implement and maintain quality control measures and guarantees.
• Establish a formal dispute resolution process to address any product or service concerns.
