The Vendor is required to provide to develop and execute strategies and tactics in support of its public relations and marketing initiatives.
- Develop an overall strategy for advertising and promoting public transit services in the Fox Cities market. In general, this will include, but is not limited to planning, conceptualizing, producing, implementing, evaluating, and analyzing public relations and marketing solutions.
- Specific required items/tasks include, but are not limited to the following:
• Create and maintain public relations efforts.
• Manage public relations, press releases and interview scheduling.
• Ability to provide media prep and coaching to Transit staff in advance of media interviews.
• The selected firm’s staff must be available during interviews or onsite, if needed.
• Implement brand communication strategy.
• Maintain crisis communication plan, including regular updates.
• Social media management (see section below).
• Selected firm must have local and regional media relationships.
• Promotion of Transit’s rider applications and website.
- Transit also prefers firms with the following capabilities.
• Production of creative, copy writing and media placement according to established brand guidelines.
• This includes graphic design/creative capabilities.
• Any print materials must be provided to Transit in print-ready format.
• Development of high quality, economical production options for printing and marketing materials and items related to this contract.
• Website design revisions and additions utilizing WordPress
- Public relations and crisis communication capabilities must include ability to respond in less than 30 minutes in the event of a crisis.
- Crisis support may include on site staffing throughout crisis.
- Social Media Management
• At a minimum, the awarded firm will manage and monitor these platforms on behalf of transit, including content development, calendar, regular posting of content (including time sensitive posts), monitoring posts and analytics tracking.
• The awarded firm is expected to provide a timely response to posts when appropriate.
• Most responses should be provided as quickly as possible to match typical social media user expectations.
• During special events, service detours, weather related events and emergencies, the awarded firm is expected to post information on social media to allow for the most timely and accurate information for our customers and the public.
• Transit provides content for the awarded firm to use concerning service detours.
- Website
• The website is hosted by a 3rd party.
• Basic content management and editing is managed by transit staff using word press.
• The awarded contractor is expected to provide creative advice for changes and is expected to maintain applicable content when needed for specific events, campaigns, etc.
• Transit will provide the awarded firm with access to the applicable user account.
