Commencement Ceremony Photography Services

The Vendor is required to provide for commencement ceremony photography services for College.
- Responsible for capturing posed photographs of graduates, managing a name-scanning system for jumbotron display, and delivering high-quality digital images in a timely and customer-friendly manner.
- Services include:
•    Provide at least two professional photographers per ceremony.
•    Supply and set up photo backdrops suitable for indoor venues.
•    Provide a scanning system that reads student name cards (with QR codes) and displays names on the jumbotron.
•    Capture posed photographs of each graduate before each ceremony.
•    Capture candid photographs of each graduate receiving their diploma.
•    Deliver digital photos to graduates within two weeks of the ceremony.
•    Offer reasonably priced photo packages for purchase directly by graduates.
•    Ensure exceptional customer service, including timely responses and support.
•    Agency tech will supply student names and contact info via spreadsheet.
•    Contractor will print and mail name reader cards to students prior to the ceremony.
- Event Details
•    Ceremonies per year: Two (currently both on the same day in May; future flexibility for one per semester).
•    Estimated graduates per ceremony: approximately 500.
