The Vendor is required to provide experience working with school districts to secure photography support for future school years.
- Secondary photography (grades 6th - 12th)
• The ideal time for pictures to be taken is during the first full month (September) of each school year and no later than October 15th.
• Delivery of color proof prints or high-resolution digital images in jpeg format of each portrait shot must be made to the publication and yearbook department within 30 days of the scheduled sitting date.
• Final picture packets to go home with students must be delivered by the first week of December of each year.
• A make-up picture day for retakes will be scheduled after delivery of proofs, so that students can decide to retake or not.
• At this time, make-up photos, or retakes, will be taken on the following with no sitting fees:
o Students who enrolled in school after the original shooting date (no fee).
o Students who original photo is unsuitable for use in yearbook (no fee).
o Students who are unhappy with their original photo (no fee).
o Faculty and staff who fit the above criteria (no fee).
• No sitting fee will be charged for any original sitting.
• All senior portraits will be retouched as required before printing.
• All sittings will be on a suitable and consistent background, and a uniform head size must be maintained.
• Photographer will be provided school dress code guidelines and must include these guidelines in mailings sent out to students.
• Photographer must work with the corresponding high school publication and yearbook departments to ensure later enrolling students are photographed for inclusion in the yearbook when possible.
• Photographer must provide a secure method for transferring files to ensure privacy and data security.
- Elementary photography (grades k - 5th)
• Photographic vendor will contact each elementary school principal or designated representative in the last two working weeks of July 2026 to begin discussions on scheduling and location for the coming school years pictures.
• The ideal time for pictures to be taken is during the first full month (September) of each school year and no later than October 15th.
• Photographer must send enough working bodies to complete all pictures prior to lunch period in schools with up to 500 students.
• Collection of money, filling out orders, and distribution of pictures shall be the responsibility of the individual school principal or designated representative.
• This should be approximately 3 weeks after the school receives proofs.
• Once the photographer is notified that orders are ready for pickup, the photographer has 30 calendar days to pick up the orders and deliver the finished picture packets to the school.
• Photographer will coordinate with principal or designated representative about exact number required, but at a minimum five (5) matte finished pictures 1 inch by 1 inch (1”x 1”) of each student will be provided to each school at no charge.
• These photos are to be delivered to the school no later than the day that go-home packages are delivered.
• Adhesive backing is requested for each photo, with the students name imprinted on these pictures.
• All sittings will be on a suitable and consistent background, and a uniform head size must be maintained.

• Photographer must work with the corresponding principal or designated representative to ensure later enrolling students are photographed.

1. Class pictures:
• Class pictures will be made available in two sizes: 6”x 8” and 8”x 10”
• Student names will be listed at the bottom of each class photo, along with teacher name, principal name, school name, and year.
• A copy of the class picture will be furnished at no charge to each faculty member.
- The photographer
• The photographer must be licensed and professionally trained and will furnish documents to prove this.
• The photographer will furnish information showing that their respective firm has the needed personnel, equipment, and studio facilities to complete the requirements outlined in schools specifications.
• The photographer or employees will not place any undue pressure on students or families to purchase any portrait package, and also agrees to handle any and all deliveries and collections of portrait packages.
• The photographer and employees will always be courteous and considerate of students, student’s parents and guardians, and faculty when making photographs at both studio and school.
• The photographer must use professional-grade DSLR or mirrorless cameras with a minimum resolution of 20 megapixels.
• The photographer must have lenses suitable for various photography situations (wide-angle, portrait, telephoto).
• The photographer must have a backup camera body and lenses to ensure continued coverage in case of equipment failure.
• The photographer must have the ability to use external flash units for low-light situations.
• The photographer must have access to a tripod for stability when necessary.
