Student Photography and Yearbook Services

The Vendor is required to provide student photography services and/or yearbook services on an as-needed basis.
- The photographers are to obtain and include consent for student names to be included in the composite.
¬- Provide photos in the required format to facilitate an automated integration with Aspen Student Information System (SIS). Contractors may upload the photos themselves into the Aspen SIS or alternatively, Contractors may provide an archive download
- Provide a sticker-ized picture for the state Student Record.
- Cards should be able to accommodate printing on the reverse side.
- Use an in-house lab for processing photographs; and
- All photography is to be on a “total satisfaction guaranteed” basis. If a person wishes a refund, for a valid reason, it will be given upon return of the photographs.
- provide the school with an electronic file or hard copy of the composite photo for proofing prior to the final printing of the photo.
- provide the school with a sufficient quantity of ‘Picture Day’ information sheets no later than 2 weeks in advance of the scheduled photography session for students to bring home (or as otherwise arranged with the school).
- Each photography package shall show the student’s name on the outside and be contained within packaging that prevents folding damage and is weatherproof.
- The schools are to notify the photographer if a student’s photo is not to be included in the composite.
- The class composites that go home to families do not include names of students unless the photographer has received the consent from the child’s parent/guardian.
- The class composite that remains in the school and the class picture book that is created for administrators do not need this consent as these items remain in the school.
- The ordering of yearbooks is not compulsory; rather, only schools requesting these services will be part of this program.
- Provide a finished product in a number of different sizes, cover options (hardcover and softcover), binding options, colour options and numbers of pages.
- Provide easy to use software for the design and development of yearbooks and if required by the school, provide support and training regarding the use of the software to each site.
- The flexibility to create their yearbooks online, place bulk orders online, and/enable students/parents/guardians to order individually through a secure online platform.
