The vendor is required to provide temporary administration staffing company to supplement its administrative support activities.
- Responsibilities and tasks
• Provide temporary staff for the classification levels described below.
• Have procedures in place to ensure that temporary staff proposed for assignment are capable of handling duties assigned.
• Temporary staff provide services to the department as requested by the department, to a satisfactory level of performance.
a. Administrative assistant – entry level
1. Examples of tasks:
• Performing electronic and hard copy filing functions, scanning documents and correctly naming files for storage, copying documents and data entry into various systems, and other related duties.
2. Examples of equipment and software used:
• Personal computer
• E- fax
• Photocopier
• Microsoft office software, including excel and word
• Google platform
• Scanning software, such as docushare
b. Administrative assistant i
1. Examples of tasks:
• Performing duties such as drafting correspondence, scheduling appointments, organizing and maintaining paper and electronic files, and providing information to callers.
2. Examples of equipment and software used:
• Personal computer
• E-fax
• Photocopier
• Microsoft office software, including word and excel
• Google platform
• Scanning software, such as docushare
c. Administrative assistant ii
1. examples of tasks:
• Performing duties such as drafting correspondence for senior staff, scheduling appointments, organizing and maintaining paper and electronic files, as well as other related duties.
2. Examples of equipment and software used:
• Personal computer
• E-fax
• Photocopier
• Microsoft office software, including word and excel
• Google platform
• Scanning software, such as docushare
- Staffing
• Temporary staff applicant screening procedures in place that shall include, but are not limited to:
o Evaluation of general knowledge and skills;
o Computer competency testing; and
o Verification of work experience and capabilities through reference checks.
• Monitor or designee will notify the contractor of temporary staff assignments as requirements arise and provide the following information to the contractor for each assignment:
o Classification level;
o Summary of duties;
o Assignment start date;
o Estimated assignment end date;
o Daily work schedule hours; and
o Department points of contact.
• The proposed temporary staff resumes and qualifications prior to approving any assigned temporary staff.
• Terminate staff assignments at any time
• Temporary is not providing services, such as when the temporary staff is tardy for an assignment, or when temporary staff are on lunch breaks.
