- Provide ongoing maintenance and support services, including periodic updates and upgrades, to ensure the system’s continued functionality, compliance, and adaptability to meet the county’s operational needs and applicable standards.
- The current system was developed by the county developers.
- The legacy system provides case and records management for the reporting of juvenile detention resident information related to intake, daily residential services management, medical, dental, and mental health services management, educational services management, court case management, resident services program management and documentation, detention release management, and a host of other mandated support activities and documentation requirements for supporting juveniles.
- The new solution must not only enhance the functionality and efficiency of the secure detention program but also effectively support the counties less secure and shelter residential programs, providing a comprehensive, scalable, and adaptable system that meets the diverse needs of all residential services.
- User experience: the system must be user-friendly and streamline intake processes with tools like predictive spelling, search functions, drop-down lists, and error messages.
- User access management: the system must manage unique user ids and passwords, restrict access based on roles, and include robust auditing capabilities to log system access and changes.
- Process workflow: the system must have built-in workflows to manage the lifecycle of cases from intake to release.
- Updating state codes: the system must track and manage offense data from state criminal codes, including a process to filter older codes.
- Case management requirements:
• Case assignment and care plans: the system must facilitate the assignment of cases, creation and management of care plans, and tracking of progress.
• Behavior and discipline tracking: the system must document behavioral assessments, disciplinary actions, and support plans.
• Grievance and placement reporting: the system must track grievances, placements, and transfers.
