Facilities Maintenance Management System

The vendor is required to provide to gather insights into modern, scalable, and intuitive facilities maintenance management systems.
- A new enterprise resource planning (ERP) platform via workday, we recognize a critical need for a dedicated solution to handle facilities ticketing, asset tracking, preventive maintenance, and inventory management.
- Provide comprehensive capabilities in:
• Facilities work order ticketing and routing
• Asset lifecycle and maintenance tracking
• Preventive maintenance scheduling
• Centralized inventory management
• Integration with enterprise and it systems
- Work order management
• Describe the full workflow for facilities ticketing—from submission (portal, mobile, email, phone) to routing, assignment, and resolution.
• Detail automated routing capabilities based on factors such as location, priority, service category, etc.
• Explain approval workflow configuration options (e.g., by ticket type, estimated cost).
- Asset management
• Describe asset tracking capabilities for equipment and infrastructure (e.g., HVAC, boilers, DME).
• Include lifecycle management, warranty tracking, maintenance logs, depreciation, and compliance support.
- Inventory & warehouse management
• Outline how your system manages inventory and supports central warehouse operations.
• Describe ordering workflows, internal billing, restocking automation, and audit features.
• Include functionality for tool and vehicle checkout.
• Chemical inventory ordering and compliance (including hazard data, classroom level ordering, and reporting)
- Preventive maintenance
• Provide capabilities for scheduling recurring or condition-based maintenance.
• Describe system alerts or automation to support timely execution.
- Reporting and dashboards
• Share reporting tools for operational, compliance, and custom analytics.
• Detail dashboard configurations and data export capabilities.
- Integration and security
• Describe integration with systems such as workday, active directory, and cisco unified contact center.
• Outline role-based security, data protection, and compliance features (FERPA, HIPAA, etc.).

• IT Service Management (ITSM) / IT Operations Management (ITOM)
• Tracking of non-capital and grant-funded assets (e.g., athletic equipment)
