The vendor is required to provide for the development and delivery of a cloud-based, fully hosted, customized giving day donation and engagement software platform, including branding and pagination, which will represent all twenty-six (26) state campuses, as well as selected university programs, with unique college giving campaign pages (collectively, the “services”) in connection with the university giving day”.
- Platform characteristics
• Level i – payment card industry (“PCI”) compliant with the ability to process credit card gifts for one-time and recurring transactions.
• The platform must provide individual giving day pages for each of requested partner sites.
• The individual partner sites must have the capability to incorporate customized content design on the thumbnails of their landing.
• The platform must have the option to include customized survey questions on each donation page, to be presented to donors after credit card acquisition and successful transaction.
• The platform must automatically tally all gifts received via the delivered platform and display donor and dollar totals (a) on the centralized state page for total dollar amounts received and total number of donors from all gifts to all colleges and program participants and (b) a sub-tally on each individual participant’s page which will display, for each specific participant, dollars received and total number of donors.
• The platform must support social media and communication tracking across all major digital advertising channels, including but not limited to meta, google, and LinkedIn, and include an administrative tool that allows assigned administrations and volunteer ambassadors to edit and upload text, pictures, videos, communications (such as Facebook and meta, x (formerly known as twitter), LinkedIn, google, and Instagram messages) to respective college giving day pages.
• The platform must contain challenge grants (cg) and or matching gifts (mg) technology which would allow administrators to upload cg and or mg details and award triggers.
• The platform must be able to automatically register successful triggering of cg or mg and then record, release and display cg and mg donation information at the college giving page level.
• The platform must support for manual input by state administrators of off-line gifts and inclusion of such in all tallies and potential cg and mg triggers into CRM.
• The platform must allow administrations at the partner site level to issue donation refunds and adjustments as needed.
• The platform must provide bulk upload of off-line gifts to profile page participants.
• The platform must deliver, automatically and in real time, donation ‘thank you’ messaging on-line (email to donor with provided email address and/or on-line screen message).
• College level administrators must have the ability to customize messaging as necessary
• The platform must include a button or other user-friendly tool to encourage and enable donors, following a successful donation, to broadcast via social media (either/any: Facebook, x (formerly known as twitter), LinkedIn, Instagram or other) a message asking for support of the giving day fund or announce their gift (specific content can be flexible).
• Platform must provide a method which allows assigned personnel to manage and control the page’s content (text, pictures, and video), results, and ambassador activity and donation adjustments for each college level giving page through a dashboard.
• Platform must include the following payment options: digital wallets, including but not limited to apple pay, google pay, PayPal, Venmo, and standard credit card/debit card processing.
• Platform will have an integrated social media aggregation panel that will visually display Facebook and meta posts, x (formerly known as twitter) tweets, Instagram posts and LinkedIn communications as identified through state and college hashtags.
• The platform must provide the functionality for a donor to cover the cost of the processing fees in addition to their gift, and such options must also be tabulated.
• Platform must show a tabulation of the processing fees collected for donations for the university to validate the amounts owed to the contractor.
• Platform must allow ambassadors/team leaders the ability to directly invite teammates to join the partner site via p2p peer to peer networking.
- Training
• Provide comprehensive training programs to ensure that both end-users and system administrators are proficient in using and managing the provided technology solutions.
• Provide a minimum of three virtual sessions of training accessible to 60 participants for the state giving day team members in introducing the platform, training state staff in the proper use of the management tools and dashboards, ambassador engagement, gift processing (online and manual input), site development and any aspect of the platform necessary to fully and successfully execute the state Tuesday giving day 2026 giving campaigns.
• training shall include access to webinars, training sessions, and video tutorials on how to use the platform.
• This training should be designed to ensure that even non-technical personnel can manage user accounts, perform system updates, and maintain the overall health and security of the system.
• The training should include:
o Clear and simple instructions: step-by-step guides that are easy to follow.
o Hands-on practice: interactive sessions where staff can practice tasks in a controlled environment.
o Supportive materials: detailed documentation, best practices guides, and access to a support portal for ongoing assistance.
o Regular updates: periodic training sessions to keep staff updated on new features and best practices.
- System capabilities, training program, and support
• The functional and technical capabilities of the proposed platform.
• Any integrated emailing capabilities built-in to the platform.
• Include specifics with regard to content development, reporting, analytics, send suppression for opt outs and ‘already’ donated, ambassador assess, etc.
• Provide a description of your training program, detailing the activities and timeline necessary to successfully train staff on use of the platform.
• Provide a proposed staffing plan for rendering the services
• Provide a detailed description of your ongoing support services, including how it is delivered and your normal hours of operation.
