The vendor is required to provide to obtain a study providing options available as potential solutions for a replacement enterprise resource planning (“ERP”) system.
- ERP study, the city will obtain important information which will assist the city in determining a future path forward determining an ERP system that best suits our needs by considering the following:
• Identify any redundancies and inefficiencies within the city’s existing ERP systems.
• Identify gaps in the city’s current ERP systems.
• This should include any software and applications that the city should consider.
• Recommend strategies moving forward for potential replacement, consolidation, augmentation and integration of ERP systems.
• Determine a recommended project plan and potential timeline for #3.
• Recommendation of multiple ERP solutions for replacement that integrate with other software and solutions.
• Eliminate manual workflows which are implemented using MS excel, spreadsheets, manual reports, and ad-hoc forms that staff use due to the inability of the current enterprise systems to meet the business user requirements
• Reduce duplicative data entry
• Establish workflows and standard business processes
• Reducing manual operational processes wherever possible 10) automate and upgrade financial reporting tools
• Integrate ERP systems with other systems to ensure the continuity of business processes and facilitate flow of data from ERP to another system
• Provide “as-is” business process workflows.
• Provide needs assessment and gap analysis.
• Develop “to-be” process workflows.
• Completion of functional and technical requirements for future procurement of system.
• Coordinate, facilitate and document discovery workshops to identify key business processes (current state).
• Coordinate, facilitate and document workshops to identify and design future state business processes.
• Document business processes using process narratives, including business rules, constraints, actors, opportunities, etc.
• Prepare all project documentation in accordance with project standards, tools and templates.
• Data migration plan
• Recommended course of action based on a minimum of three potential solutions.
• Integration plan.
