The vendor is required to provide for the supply of a web-based vehicle management system that is compatible with bus planner, including the installation of new GPS units in 105 buses.
- GPS vehicle management system requirements
• Must have the following features:
o Substantial compatibility with bus planner suite.
o The extent to which their solution is compatible with bus planner suite and indicate any known limitation or deficiencies.
• Should have the following features:
o Cloud or offsite storage of data
o Add and remove users and assign administrative privileges to specific users.
o Ability for administrative users to update vehicle assignments and GPS unit ids in the software (independent of the successful proponent).
o Compatibility with bus planner suite including but not limited to GPS information.
o Ability to review historical data
o Ability reliably locates vehicles on demand in real time including live GPS tracking with speed and distances in metric.
o Ability to see all vehicles simultaneously on a map.
o Ability to work with all data service providers within state
o User friendly and customizable reporting system.
o Vehicle status reporting
o GPS data should be recorded at a minimum of 10 second intervals. proponents may provide cost savings options for a greater interval.
• Value added features:
o Ability to add new technology such as eld’s, student tracking, remote distress and emergency, wi-fi, etc.
o Ability to integrate with current agency authentication sources in order to support logging in using agency internal credentials (username and password).
o Ability for reports to drill down by land location or physical street address for historical data.

- Data management
• All data and information created or inputted in the vehicle management system will remain the sole property of agency at all times.
• This data will not be used by the successful proponent for any purpose outside the work unless agency gives in advance the express written consent to use such data.
• All data must be stored in country unless pre-approved by agency.
• Historical data must be maintained and available to agency for a minimum of 6-months.
- Web-based application
• The successful proponent shall be responsible for maintaining the web-based vehicle management system application.
• Provide live support to agency for the application. at minimum, live support should be available Monday through Friday 6:00 a.m.-6:00 p.m. CST.
• Include descriptive information on features and other details about the application.
• Solution should self-service functionality (ability to run reports, make changes, etc.).
