The Vendor is required to provide for a vendor hosted, cloud-based, employee recognition software as a service (SaaS) product (system) that meets the department needs in recognizing and rewarding employees for their contributions and achievements.
- Implementing a cloud-based employee recognition system are as follows:
• Streamline the process and improve timeframes for recognizing and rewarding employees for their contributions and achievements.
• Increase program awareness, visibility, and participation.
• Increase employee engagement, morale, and retention.
• Provide managers and team leaders with tools to effectively recognize and reward employees.
• Foster a culture of appreciation and recognition within the organization.
• Fully vendor hosted, cloud-based system, provided as a SaaS cloud subscription service
• System has the ability to accommodate approximately 4,500 users.
• Grant department a subscription license to the service for the duration of the contract that includes licenses for any third-party software.
• Provide pre-implementation, implementation, and post-implementation communication planning and materials for employees, managers, and system administrators, including at a minimum, email templates and written information about the system.
• Comprehensive system training and training materials for employees, managers and system administrators before implementation, with a detailed training plan that includes method of training delivery.
• System must be capable of utilizing established file formats and file delivery schedules; and
• System must be capable of monitoring, supporting and assisting nightly until completion of the file delivery process.
• Provide a business continuity plan to ensure recovery of the entire system within seventy-two (72) hours;
• Must identify and communicate the redundancy and data backup procedures for the system;
• Provide monitoring services to quickly identify and resolve any unplanned outage issues.
• Provide its IT disaster recovery plan and backup plans, upon request.
• The system must provide the capability to create/build ad hoc reports allowing department to define report content and format on a one-time basis.
• The system must have the ability to store ad hoc reports for future regeneration.
• The system must have the ability to modify or deactivate a previously saved ad hoc report.
• Functional – verifies all features and workflows meet business requirements, including data input/output, reporting, user permissions, error handling, and real-time data sync;
• Data access – confirms access from various locations (office, telework) and devices (different technologies, browsers, mobile);
• Performance – assesses responsiveness, stability, and scalability under load (load/stress tests), and ensures vendor infrastructure handles anticipated usage and peak demands;
• Security – identifies vulnerabilities and ensures data privacy, and includes vulnerability scanning, penetration testing, access control, data encryption (in transit/at rest) and compliance (e.g., GDPR, HIPPA, soc2);
• Compatibility – confirms the solution works across all user browsers, operating systems, and devices;
• ADA compliance – verifies the system meets accessibility standards; and g. backup and disaster recovery – validate the vendor’s backup frequency, retention and restore capabilities.
