The vendor is required to provide a new homeless management information system (“HMIS”) solution for the housing options, solutions and supports division (“HOSS-D”).
- HMIS software-as-a-service and cloud solution
• The HMIS solution over the internet.
• The HMIS solution will be remotely operated and managed by the vendor on behalf of county.
• Provide production, test, and training environments delivered over the internet.
• Remotely support the implementations and operation of the vendor-owned HMIS solution.
- Custom development services
• County may request additional or optional professional services, the scope and pricing of which will be negotiated between vendor and county on a case-by-case basis.
- The following part of the implementation of proposed HMIS solution:
• The review and analysis of county’s current processes and plans for automated systems and services.
• Planning for conversion of and loading of the county’s database of records.
• The designation of a specific vendor’s employee to serve as the vendor’s project manager for implementation of the HMIS solution.
• Project manager shall be responsible for phone conferences with county staff, and as many on-site visits to county as deemed necessary by county.
• A written project plan and schedule for installation, data migration, testing, and transition of the current agency users to extend beyond go-live implementation. implementation, which consists of all implementation activities, including integration and migration, and interfaces is estimated at twenty-four (24) months from the notice to proceed, unless extended by county contract administrator.
• Provide fully configured and customized software, licensing, maintenance required to deliver a vendor-hosted and vendor-owned fully functional solution.
- Data migration
• Perform data mapping and migration of the county’s existing HMIS database into the proposed HMIS solution.
• The vendor will work in conjunction with county’s enterprise technology services (ETS) and department administrators to extract and verify the data from the current systems are migrated into the proposed HMIS solution, an example of the data fields is provided in HMIS data.
• Provide a testing method to verify that the migrated data functions, as intended, in the HMIS solution.
• The migrated data will include data designated by county from existing HMIS application, including active clients and clients served in the previous seven years.
1. Acceptance of data migration procedures
• Vendor will create data migration procedures to be reviewed by county.
• Procedures should be accepted and approved by county prior to vendor’s initiation of data migration.
2. Data migration validation
• Vendor will perform a test migration.
• County will be provided fifteen (15) business days to test and validate data migration and perform acceptance testing prior to migration into production environment.
