The Vendor is required to provide health facilities information system to develop and roll out a modernized software system to replace an aging system that was developed using older technology.
- Integration with the “federal systems”
• Health facilities get inspected to obtain various certifications and licenses at both the federal and state levels.
• We often refer to these as “surveys,” and they are done by “surveyors” (employees of the division).
• Surveyors physically visit the facilities all over state and do their inspections and surveys.
• For most of the surveys that we do, the actual survey results are entered into the appropriate federal system and then one directional updates are drawn from the federal systems into agency ~1-2 times daily.
• Agency users then use that data to complete the rest of the survey and licensing process.
• After the license is successfully obtained, the surveyors go into the federal system and indicate the success.
• Agency currently contains records for 30k+ surveys, and approximately 5k+ surveys per year are performed.
• Per federal rules, we are not allowed to change or update any federal databases or systems via web service or any other method.
- Integration with downstream tableau reporting system for division personnel
• Approximately 20-30 reports, supported by approximately 30 stored procedures, with more reports coming online in the coming year before the goes into development.
• There is a separate team internal to the division that creates, develops, and maintains these reports, but because their reports depend so heavily on agency data, we list them as a major integration point here.
• Various division personnel view various reports where the vast majority of the information is pulled from a twice daily replicated copy of data from agency and the federal systems.
• Data reporting personnel also indicate that the data from agency is often insufficient alone to provide regular, highly usable reports.
• This integration is also important because we will want to easily maintain the same or similar reports as the new being rolled out, which presents data migration challenges that will need to be handled.
- Amazon web services s3 bucket (s3) in the cloud
• Agency stores and retrieves numerous documents from s3.
• Include numerous documents in various formats related to licensing and applications, enforcement, occurrences, etc.
- Overall data architecture of agency
• Current assessments of the data architecture by technical personnel indicate that the data architecture for agency is somewhat antiquated and not up to industry standards.
