The vendor is required to provide enterprise resource planning and (ERP) system architecture and configuration services to assist in the migration, configuring of Microsoft’s dynamics 365 business central.
- ERP implementation firm for the configuration, integration, and deployment of a modern ERP solution with an agency go-live date of early February, 2026.
- The selected firm will be responsible for implementing microsoft dynamics 365 business central as the core financial platform, Paylocity for human resources, payroll, timesheet, employee expense reporting, and a robust reporting tool that meets the district’s data reporting needs (please note that time of this writing, agency has not yet finalized a reporting tool but has identified a few potential solutions.
- ERP systems, but also for understanding our business processes, training staff, identifying opportunities for operational efficiency, ensuring a smooth transition, and providing ongoing support.
- ERP environment that enhances reporting capabilities, enables real-time data access, improves overall efficiency, and supports the district’s continued growth.
• Implementation and configuration
o Full set up, migration of current ERP data and configuration of business central to support fund accounting, procurement, accounts payable and receivable, budgeting, fixed assets, and other financial functions.
o Integration and configuration of Paylocity to manage timesheets, payroll, benefits, employee expense reporting and employee records.
o Setup of a reporting solution that is user-friendly, excel based business report tool that is compatible with business central.
o Ensure seamless data flow between platforms.
• Training and change management
o Develop and deliver comprehensive training programs for staff.
o Provide clear documentation and user guides tailored to the agency’s specific system configuration.
• Compliance
o Ensure compliance with all applicable governmental regulations such as financial reporting standards, procurement rules, records retention requirements, and data privacy and security mandates.
o The system should also align with industry best practices for public sector ERP implementations
• Support and maintenance
o Offer ongoing technical support post-implementation.
o Provide recommendations for system updates, enhancements, or process refinements as agency grows.
• Reporting and analytics
o Implement a reporting tool that enables staff to generate both standard and ad-hoc reports.
o Assist with the development of financial statements, dashboards, and budget reports.
o Enable data exports and visualizations for decision-making purposes.
• Deployment and accessibility
o Preference for a cloud-based solution that is accessible remotely and mobile friendly.
