The vendor is required to provide electronic agenda management system to replace the city’s current agenda management software and support the legislative development, approval, and voting processes from initial drafting through final city council action and documentation.
- The city prefers a SaaS cloud hosted solution.
- The system shall include, but not be limited to, modules for: document submission, document management, electronic agendas, live and archived voting, live and archived captioning, workflow with e-signature capability, live and archived video streaming, minutes and agenda packets, subscription feature, electronic public comment submission, and a public facing search component to allow the public to search legislative agenda documents and details on the city’s website.
- The system must integrate with legacy systems like Laserfiche, MS word, and through an API to migrate files or data.
- The system’s functionality shall include the following:
• A central workflow and document repository
• Historical tracking and reporting
• Public access capability
• Roles based review and approval workflows
• Streamlined integrated business processes, that reduce the time necessary to publish agendas and proposed legislation
• Ability to manage appointments for board and commission members.
