The Vendor is required to provide resource allocation and infrastructure planning will be made possible thanks to the optimization of our asset lifecycle management made possible by this platform.
- Platform Requirements:
• Comprehensive asset tracking: the platform should provide a centralized repository for tracking and managing all utility assets (water, sewer, and electric), including equipment, vehicles, fueling station, facilities, infrastructure components, and warehouse stock items.
• Real-time monitoring: real-time data integration capabilities are essential for capturing asset performance metrics, health indicators, and predictive analytics to facilitate proactive maintenance and minimize downtime.
• Work order management: the platform should streamline work order generation, assignment, and tracking, enabling efficient maintenance and repair activities.
• Lifecycle planning: robust features for asset lifecycle planning, replacement forecasting, and capital budgeting will support prudent decision-making and optimized resource allocation.
• Regulatory compliance: the platform should assist in maintaining compliance with regulatory standards through automated documentation, reporting, and audit trails (i.e. NPDES, backflow, 811, and fog programs).
• Integration capabilities: seamless integration with existing systems, such as ArcGIS and SCADA, will ensure a holistic view of asset performance and operational efficiency.
• User-friendly interface: a user-friendly interface with customizable dashboards and intuitive navigation will enhance user adoption and streamline data access.
• Warehouse stock management: the platform should include capabilities for tracking and managing stock items within our warehouses, enabling efficient inventory management, reorder points, and stock level monitoring.
• Vehicle maintenance: the platform should assist with management of all gas and EV powered vehicles, equipment, and asset data in one integrated system, including preventive maintenance, recurring costs, replacement, warranty, and much more. Platform should be able to integrate to the city’s third-party fueling system OPW.
- Platform Implementation:
• Phased Implementation: Plan the software deployment in a phased manner, section by section, to ensure smooth integration and minimal disruption to ongoing operations.
• Asset Data Integration: Integrate data from various sources, including ArcGIS, SCADA systems, to create a centralized repository of asset information.
• Customization: Customize the platform to meet the City’s specific asset types, maintenance procedures, and regulatory compliance needs.
• Real-time Data Integration: Establish real-time data feeds to capture asset performance metrics and health indicators for proactive monitoring.
• User Interface: For simple data access and analysis, create a user-friendly interface with customized dashboards, reporting tools, and interactive maps.
• Warehouse Stock Management: Include management tools for managing warehouse inventory, such as inventory tracking, reorder points, and stock level monitoring.
• Mobile Application Integration: Develop a mobile application that allows authorized personnel to conveniently open and close work orders while on-site using android or iOS devices. The application should provide seamless access to asset information, work order history, and relevant documentation. It should also enable the capture and upload of photos, videos, and notes to enhance work order reporting. The mobile application should be designed to ensure optimal functionality and user experience on both android and iOS platforms.
• Customer Portal: Implement a customer portal to enhance customer engagement and streamline issue reporting. The portal will enable residents and customers to report issues related to utility assets, submit service requests, view real-time status updates, and communicate with the relevant department.

• The platform should enable efficient tracking, monitoring, and maintenance of utility assets:
• Asset Catalog: Develop a thorough inventory of all assets, including equipment, facilities, infrastructure components, and warehouse stock items.
• Work Order Management: Implement a system for managing work orders that simplifies the creation, assignment, and tracking of maintenance and repair tasks.
• Predictive Maintenance: Integrate predictive analytics skills to foresee maintenance requirements and reduce equipment downtime.
• Lifecycle Planning: To guarantee optimal resource allocation, provide tools for capital budgeting, replacement projections, and asset lifetime planning.
