- The new solution should be able to:
• Track Student Software Usage: Provide detailed insights into how students utilize various software applications, enabling better resource allocation and identifying potential areas for training or support.
• Track Approved Software and Display Publicly: Maintain an accurate registry of all approved software and feature a public-facing portal to display this information. This is crucial for maintaining compliance with regulations such as FERPA and laws, ensuring transparency regarding data handling and privacy policies associated with approved software.
• Track Software Licenses and Costs: Offer a centralized system for managing software licenses, including procurement dates, expiration, renewal cycles, and associated costs. This will enable better budget forecasting and optimization of software expenditures.
• Monitor 3rd Party Vendor Privacy Policies: Proactively track and evaluate the privacy policies of all third-party vendors whose software or services are utilized. This ensures ongoing adherence to data privacy standards and minimizes risks associated with external data handling.
• Track 3rd Party Vendor Data Breaches: Provide a mechanism to monitor and record any data breaches experienced by third-party vendors. This is vital for risk assessment, incident response planning, and communicating potential impacts to relevant stakeholders.
• Track Integrations: Map and manage all integrations between various software applications and systems. This provides a clear understanding of data flow and interdependencies, facilitating troubleshooting and system optimization.
• Enable Multi-Team Software Asset Management: Support, efficient, and transparent, collaborative software asset management across diverse teams, including IT, procurement, legal, and educational departments.
