The Vendor is required to provide to implement a new Suicide Risk Assessment (SRA) platform for the 2027–2028 academic year.
- There are 66 schools in the district: 4 child development centers, 27 elementary schools, 8 P-8 / K-8 schools, 6 middle schools, 1 Grades 6-12 academy, 6 high schools, 1 vocational/technical college, 1 gifted and talented K-8 school, 11 charter schools and 1 home school support program. The projected total enrollment for 2020-21 is more than 40,000 students.
- The platform must facilitate streamlined assessment workflows, ensure data integrity, and support re-entry planning with robust long-term storage capabilities.
- Workflow Requirements
• Customizable form logic: ability to create complex decision-tree-based workflows to route forms based on assessment type (e.g., acute, non-acute, retroactive).
• Pdf generation: automatic generation of pdfs based on assessment outcomes
• Selective data population: ability to restrict sensitive data from appearing in generated pdfs while keeping it securely stored.
• Email automation: secure and automated email notifications triggered by workflow outcomes.
• Data validation: implementation of robust validation rules, such as DOB and id matching, with appropriate error handling.
• FERPA compliance: all data handling must adhere to FERPA regulations to protect student privacy.
• Role-based access control: granular user permissions based on staff roles (e.g., counselor, system administrators).
• Role-based views: views that allow for tracking of documentation compliance (e.g. Compliance status, missing components, and due dates) and schoolwide summary page.
• Long-term storage & audit trails: secure storage of assessments with full audit history.
• Data migration via batch upload, integration with current student records and data format flexibility.
• Ability to alert users to workflow deadlines, or changes to workflows, either by email or platform notification or both.
• Ability to grow and adapt: additional assessments may need to be created, current assessments may need to be reworked or removed, depending on needs of the district and community partners.
- Additional Platform Needs
• As the platform is being built periodically walking through processes with the aware team who will be maintaining the system, and monitoring compliance.
• Customer support excellence: live support availability during standard working hours, supplemented by video tutorials and accessible resources.
• Customization flexibility: no-cost customization capabilities with easy access to change workflows, templates, and forms as district needs evolve.
• Accessibility compliance: platform must meet all applicable state accessibility requirements for digital services.
- Project Objectives
• Deploy a fully operational sra platform across aps by july 2026.
• Ensure the platform fully supports customizable workflows for acute, retroactive acute, and non-acute assessments.
• Additional documents attached to original SRA (re-entry plans, suicide safety support plans)
• Maintain compliance with FERPA and aps data privacy standards.
• Provide user-friendly interfaces (dashboard) for a wide range of users (administration, aps-employed mental health professionals).
• Deliver comprehensive training and customer support for seamless user adoption.
• Ensure platform accessibility compliance per state standards (various permission levels based on roles)
• Require vendor agreement to aps’s data protection agreement (DPA) for safeguarding student and staff information.
• Require an open API, an application programming interface (API) that is made publicly available for software developers to access a software application or web service (communicate with infinite campus).
