The vendor is required to provide project management software to the recreation programming schedule, called the production schedule, is a critical tool for the department’s recreation work, with implications for hiring, training, procurement, marketing, and program administration and has historically been managed via email, spreadsheets and individual memory.
- Software must have the following features:
• Software must be fully cloud-based and have at minimum 1 terabyte of storage
• Allow for multiple viewing styles for the same project including Gannt chart, list, calendar, and list categories.
• Support multiple independent projects that include over 1,000 individual tasks
• Allow users to link dependent tasks (predecessors and successors)
• Automatically update schedules when task and milestone durations are altered and deadlines are missed, or equivalent
• Allow users to set deadlines and designate milestones
• Include a report feature for data and insights (online and pdf download)
• Include a dashboard that can provide an overview of upcoming tasks, tasks due this week and month, overdue tasks
• Reflect updates in real time
• Be able to import and export project data, including task tame, category, start date, due date, description, assignee, from excel or csv format
• Software should not require coding
• Solution must include at least three authorization levels:
o Admin: all rights for all features;
o Regular read and write user: full rights to milestones and tasks and full rights to report module;
o Read-only user: view-only on tasks and milestones and view assigned reports only
• Software should have ability to constrain read write and read-only users to specific project or projects
• Ability to include guest users at a read and write or read-only authorization.
• Guest users are users with a different domain name.
• Guest users should not count toward user license count.
• Include a start date and end date on a single task.
• Include start time and end time on a single task
• Ability to set reoccurring tasks
• Ability to set up automated workflows
• Ability to include custom fields (e.g., tags/labels) on a task
• Ability to designate tasks as a priority
• Ability to write titles and descriptions for tasks
• Ability to assign specific user to a task
• Ability to include collaborators on a task
• Ability to attach files to a task.
• Ability to comment and keep a thread of comments on a task
• Ability to connect outlook account to the software to allow users to turn emails into tasks, create calendar events, and other similar functions.
• Ability to group projects together in a portfolio and see progress status of all projects within portfolio.
