The vendor is required to provide automated online interview scheduling solution is intended to automate the interview scheduling process, from beginning to end, with the inclusion of necessary implementation and set-up services, end-user training, ongoing support and maintenance.
- The functionality must support interview scheduling, communication, and integrate with existing video conferencing services.
- The current in-house interview scheduling process is as follows:
• Hiring managers screen candidate applications (i.e., review resumes) and identifies the top candidates they would like to interview.
• The hiring manager or their admin staff references the members of the interview panel’s outlook calendars to determine mutually available time slots.
• The hiring manager or their admin staff contacts the candidates via phone or email to request an interview in person or virtually through microsoft teams out of the available time slots they determined.
• The hiring manager or their admin staff sends an interview confirmation email to the candidate about the agreed interview with information, such as date, time, location, panel members, contact info, and special instructions.
• The hiring manager or their admin staff sets up a meeting in all interview panel members outlook calendars for the agreed interview time with microsoft teams link if virtual.
• The hiring manager and interview panel conducts the interview with the candidate in-person of virtually through microsoft teams.
- The implementation of an automated online interview scheduling platform and solution is expected to change the interview scheduling process to the following:
• Once hiring managers screen candidate applications (i.e., review resumes) and identifies the top candidates they would like to interview, the hiring manager selects the country within authority HRIS system (day force) to schedule interviews for.
• If not integration with HRIS system, the hiring manager enters top candidate’s contact information into automated online interview scheduling platform and solution.
• The hiring manager identifies the authority interview panel members to be part of the interview.
• The automated online interview scheduling platform and solution determines interview time slots using the availability of authority interview panel members based on their outlook calendars.
• The automated online interview scheduling platform and solution uses the candidate’s contact information and requests them to select an interview time slot.
• The automated online interview scheduling platform and solution sends a confirmation email with applicable information about the interview to the candidate.
• The automated online interview scheduling platform and solution creates a meeting invite of the time slot selected, with microsoft teams link if to be virtual, and sends to the candidate authority interview panel members.
