Records Management System Upgrade

The Vendor is required to provide a software vendor to implement a new cloud-based records management system to allow fire department personnel to input pre/post emergency incident data.
- Vendor will implement a new records management system (RMS) allowing fire department personnel to input mandatory pre/post incident data (emergency medical reports, fire reports, pre-fire plans, learning management system, training records, Tablet Command integration, and Motorola Premier One CAD Integration).
- System Include:

•    NEMSIS 3.5 compliant
•    Statistical dashboard with mapping, flexible filtering, and sorting of records
•    Report generator for both detailed and summary report

o    Hydrant records
o    Inspection records
o    Personnel records
o    Activity records
o    Occupancy records
•    Hydrant inventory, flow testing, and maintenance records
•    Personnel records, activities, and scheduling
o    Certification, hiring, health records, equipment assignments, and promotion tracking
o    Work group activities—public education, inspection drills, meetings, and work details
o    Daily log display of shift activities
•    Fire safety inspections
o    Checklists
o    Ability to site multiple counts of a violation to different locations in the building
o    Sort capabilities of locations/spaces of violations with associated violations to unique locations
•    Property records with GIS mapping capabilities
•    The software must allow for multiple user permission levels including but not limited to user, power user, supervisor, and administrator
•    Preferred to have Multi-factor Authentication (MFA) and single sign on capabilities
•    The system should provide end to end encryption to server and offline accessibility
•    The City requests a test database for training and testing
•    The system must have system redundancy for high availability
