The vendor is required to provide financial aid management system to be configured and implemented in parallel with their wider workday student implementation.
1. Automation
• Automate the entire financial aid lifecycle (awarding, re-awarding, disbursement, loan origination, r2t4 compliance).
• Provide an automated packaging and repackaging engine that (a) runs at least every 24 hours (on-demand in test environment) and can be triggered manually per student or selected populations (institutional student information record (ISIR) and student aid index (SAI), enrollment intensity, housing, program version) and (b) enforces configurable stacking order, over award prevention, and tolerance rules
• Automate COA (cost of attendance) and sap (satisfactory academic progress) calculations and enrollment status for r2t4 compliance with sis.
• Maintain immutable audit logs for rule and version changes, packaging runs, user actions, notifications, and integrations with retention per policy.
2. Integration
• Offer bidirectional, documented integration methods with workday ERP (platform and student), preferably via API and webhook
• Offer bidirectional, documented integration methods for slate CRM (admission and advancement) for intake, verification, and award communications, preferably via API and webhook
• Integrate with established federal cod and title iv electronic processes for intake and corrections.
• Provide a built-in, or support bidirectional integration with an external document management system
• Provide secure SQL views and export APIs; include change-data-capture (CDC) or dated snapshots for longitudinal reporting.
• Document management must support verification workflows and adhere to act controls; portal and docs.
3. Flexibility
• Deliver comprehensive advisor dashboards that enable predictive analysis, including the effects of enrollment and award changes before packaging and disbursement.
• These dashboards should provide insights into ISIR status, unmet need, eligibility status, missing documentation, and sap (satisfactory academic progress) indicators, while generating proactive lists of students who are candidates for repackaging or other actions.
• Allow configurable stacking order across funds and support both scheduled (≥ daily) and on-demand runs initiated by users or events.
• Ability to select and act upon populations of students by enrollment status, ISIR status, compliance, sap status, metadata filtering, and manual lists and groups
• Allow configurable funds with guardrails, redistribution policies, and eligibility rules. (Including but not limited to: federal aid, state aid, institutional grants, departmental and donor scholarships)
• Ability to apply awards in bulk via upload or file import, with the ability to visually validate, adjust and maintain these awards manually prior to packaging
4. Timing
• Completion and delivery of integrations and system functionality to support the first move-to-production phase (mtp1) of university workday student implementation, scheduled for September 2026.
• This phase includes integration between the fam and slate and workday student to provide complete award offers to incoming admitted prospects by early fall 2026, incorporating need-based calculations as institutional student information records (ISIRs) are released.
• Completion and delivery of integrations and system functionality to support the second move-to-production phase (mtp2) of university workday student implementation, scheduled for march 2027.
• This phase includes full integration between the fam and slate and workday student to provide comprehensive financial aid functionality to all students by early spring 2027
5. Reporting and data access
• Ability to provide data access and built-in reports to facilitate operational reporting, required IPED and FISAP data and other state requirements, as well as loan, fund, and grant reconciliation.
• Provide out-of-the-box operational reports (budgets vs awards, balances, acceptance rates), a KPI set (time-to-package, % allocated by census, unused funds.
