The vendor is required to provide asset tracking solution that will include tags, equipment, software, installation, project management, staff training, and on-going support and maintenance.
- Provide the following implementation services
1. Project planning and management:
• Develop, maintain, and update the implementation project plan, including state tasks.
• Maintain the issues and risk logs.
• Provide weekly status reports and conduct weekly status meetings.
• Escalate any issues to keep the project on the mutually agreed upon schedule.
2. System installation and configuration
• Complete the application configurations and security configurations, as applicable.
• Configure, tune and register handheld and fixed agency readers and scanners.
• Deliver all scanners to the central office
• Assist state with re-tagging all assets.
3. System integration and interface(s)
• Develop and test any interface(s) required between the contractor’s SaaS solution and state ERP system.
4. Data migration
• Develop the data migration plan document.
• Develop and test any migration programs.
5. Testing
• Assist state in conducting user acceptance testing (UAT).
• Log, track, and remediate all defects identified in the test cycle. the severity level of the defects will be determined by state.
6. Training materials
• Develop detailed training materials for the proposed system including standard and custom portions for review and acceptance by state.
• Develop online training tutorial for future new personnel onboard training.
7. Training sessions
• Conduct up to 75 hours of training sessions for state end-users, identified by state.
• Each training session will be conducted as an interactive webinar session or in person.
8. Production deployment
• Develop the system readiness checklist.
• Upon state approval, deploy the system on a university-wide basis. complete the deployment checklist.
9. Post implementation support
• Provide post-implementation support for a minimum of 12 months following the completion of deployment.
