The Vendor is required to provide for assist with the build-out of the department’s Microsoft 365, teams, and SharePoint sites the city will interview and host demonstrations with qualified proposers, after which the city will sign a city services contract with the selected proposer and work with such proposer on the build-out.
- Interview a department to:
• Document and understand current document, file storage, and collaboration environment.
• Document and understand business needs related to document, file storage, and collaboration.
• Develop a plan to meet their document, file storage, and collaboration business needs through design and configuration of Microsoft 365 solutions, and the migration of existing files, and training.
- Configure and set up Teams sites including Channels, as per the developed plan.
- Configure, set up, and generally develop SharePoint sites:
• Transfer the department’s current shared drive(s) to SharePoint, and Teams sites and channels as per the developed plan.
• Proposer will provide pricing for transferring existing folders to the SharePoint and Teams site(s).
• Set up the departments department-internal SharePoint and Teams site(s) as per the developed plan.
• Set up the department’s SharePoint and Teams site(s) for access by other City departments (Intranet) as per the developed plan.
- Train department staff:
• On modifying the various sites and channels.
• On further developing the various sites and channels.
• On maintaining the various sites and channels.
- Provide information regarding continued support and/or training
• Including a detailed electronic training manual.
- Consider and incorporate items that would be beneficial to include in the Build-out via apps and/or other features:
• Matter-based organization
• Matter tracking
• Archiving and ability to access the archive
• Ability to “relate” documents
• Functional and easily input metadata fields to organize and search documents
- The IT Department is responsible for the administration and oversite of the City’s Microsoft 365 environment.
- All design, configuration, and administration decisions must be processed and approved by the IT Department.
- Consistency, ease of administration, standardization, and security are values that will be measured against all proposed changes.
- It is preferred that any proposed solutions are provided natively within Microsoft 365 solutions and framework.
- The introduction of custom solutions within the Microsoft environment, and/or solutions that require a maintenance relationship with another provider are not a preferred outcome, unless distinct advantages are demonstrated.
- As well, all administration efforts, site configuration changes, site development, and file migrations must be reviewed, approved, and verified by the appropriate IT Department staff.
