The Vendor is required to provide to design, implement, and support a modern cloud-based data warehouse or data platform.
- This initiative aims to consolidate data from multiple systems, improve reporting and analytics capabilities, and empower staff and leadership with actionable insights to enhance program delivery, fundraising, and operational performance.
- Work closely with agency program, operations, finance, and development teams to assess data sources, recommend platform architecture, build data pipelines, and deliver integrated dashboards aligned with nonprofit data needs.
- The platform should consolidate data from disparate systems, improve reporting and analytics, and provide staff and leadership with actionable insights into program impact, fundraising effectiveness, and organizational performance.
- Data Source Identification & Assessment
• Conduct discovery sessions with program, operations, finance, and development teams to catalog all current and potential data sources.
• Identify priority systems and datasets, such as:
o Case management systems, program enrollment records, and attendance data.
o Donor management and fundraising platforms.
o Grant management systems and compliance reporting datasets.
o Financial systems (accounting, budgeting, cost allocation).
o Volunteer management and HR systems.
o Community/partner datasets (schools, social services, healthcare providers).
o Assess data quality, completeness, and integration feasibility across sources.
- Platform Selection & Architecture Design
• Recommend and implement a cloud-based data warehouse / data platform that meets nonprofit requirements for cost, scalability, security, and ease of use.
• Evaluate leading technologies (e.g., Microsoft fabric, snowflake, google bigquery, data bricks) against criteria such as integration, compliance, and TCO.
• Define a future-proof architecture including:
o Secure data ingestion and staging.
o Data warehouse / lakehouse environment.
o Metadata management and data governance capabilities.
o Role-based access and child data privacy safeguards.
- Data Pipeline Development
• Design and build automated pipelines to extract, transform, and load (ETL/ELT) data from identified systems into the centralized platform.
• Establish data quality rules to ensure accuracy, consistency, and timeliness of data.
• Implement monitoring and error handling to maintain reliable data flows.
- Data Modeling & Integration
• Develop a nonprofit-focused data model that integrates key domains, including:
o Child & family demographics (child, household, parents’ employers, employment data)
o Program enrollment & outcomes (kids in care, waitlists, head start, early childhood programs)
o Provider & quality (provider information, agency assessments, zip code maps with agency rating, mentors, training participation)
o Case management & family services (family support services, referrals, recertification, terminations)
o Outreach & engagement (outreach dashboard, call data, contacts, events)
o Financial & funding (financial statements, grant-specific reporting, donor/fundraising insights)
• Create canonical structures (e.g., child, household, donor, volunteer, program, and provider) to enable cross-functional reporting and analytics.
• Document the data model for ongoing use and scalability.
