The vendor is required to provide integrated booking and scheduling management solution to manage client projects, facility use and equipment reservations.
- Key challenges within the existing system include:
• Manual data entry and duplication- staff must manually enter and cross-check information across spreadsheets and emails, increasing administrative workload and risk of errors.
• Restricted visibility and reporting- the system offers minimal analytics or performance reporting to support operational planning, resource utilization tracking or executive decision making.
• Inability to create incremental and conditional booking i.e., we are only able to do full day bookings but would prefer incremental bookings e.g., half day and to consider equipment out of commission sanitation.
• User accessibility limitations- the interface is outdated, and difficult to navigate for both internal staff and external clients.
- Integrated booking and scheduling management solution
• Core booking and scheduling: room, equipment and staff scheduling across pilot plants, laboratories and shared spaces with conflict detection and conditional booking.
• Our preference is for half-day booking capabilities and also to indicate booking categories e.g., set-up days, maintenance, training, etc.
• User and access management: multi-user configuration, service provider information, service hour entries, role-based security.
• Reporting and analytics: utilization reporting (e.g., sanitation report), key performance indicator (KPI) dashboards and integration with business intelligence (bi) tools, billing report.
• Integration with cross functional teams, e.g., sanitation crew, maintenance crew, processing technologists, etc.
• Implementation expectations; cloud or hybrid solution scalable for ~70 users, compliant.
- System functionality, analytics and security:
• A description of the vendor’s system’s capabilities for multi-user, multi-room, multi equipment and multi-staffing scheduling
• System handles optional length of time bookings, conditional bookings and conflict prevention.
• The vendor’s system capabilities for external service provider entries into a scheduled booking.
• Provide examples of analytics or key performance indicator dashboards.
• Security framework (authentication, encryption).
• A high-level implementation timeline.
• Identify any unique features or innovations (e.g., predictive analytics, AI integration) that are useful to know.
