Event Planning and Marketing Solution

The Vendor is required to provide a robust, commercial off-the-shelf event planning and marketing solution to support our evolving business needs.
- As a leading insurance provider operating across multiple provinces, agency regularly hosts a diverse range of events—from broker conferences, key stakeholder engagements and education sessions each of varying size and complexity.
- We require an integrated software solution that streamlines event management, enhances registration and communication capabilities, and provides actionable insights to improve event outcomes. 
- The ideal platform will empower our teams to efficiently plan, promote, and execute events of varying scale, while ensuring compliance with privacy, security, and information management standards.
- Solution provides the following:
•    End to end support for annual conference, and potentially other events as needed. 
•    Supports total event activities including:
o    Registration (customized registration forms with conditional logic for different attendee types), 
o    Integrated on the spot registration and badge printing, 
o    Appointment setting to enable attendees to book one on one or more meetings with exhibitors, speakers or other attendees within available meeting rooms, 
o    Diagramming real-time data management, marketing/communications within tools to send push notifications, surveys or emails to targeted attendees, real time updates for schedule or location changes, 
o    Reporting provides real time attendance updates and engagement reports and post event analytics dashboards to measure attendance and satisfaction, 
o    Logistics support such as dietary restrictions, bus service, maps and overall support of client events from planning to post event wrap up including guidance for troubleshooting, last minute changes and continuous improvement recommendations.
