The Vendor is required to provide the Microsoft (MS) software advisor (SA) will assist the city with all aspects of providing Microsoft products and services, both before and after any transactions, including but not limited to, providing expert guidance and value-added support to ensure our Microsoft environment, such as MS 365, remains fully operational, secure, and up to date.
- The MS-SA will offer licensing and advisory support for other, non-Microsoft essential third-party applications like Adobe and TeamViewer, helping the City maintain efficiency and continuity across its technology landscape.
- The process for the City to access licensing support, and what are the expected response times for both Microsoft products and other third-party products;
- The escalation process and how issues are handled when they remain unresolved for both Microsoft products and other third-party products;
- The reporting tools you offer for tracking license usage and availability, and how customizable are these reports to meet the City’s specific needs;
- Microsoft Software Advisor Services
• The supplier shall be the software advisor of record on all city Microsoft enrollments and/or agreements; and
• The supplier shall assist the city with all aspects of providing Microsoft products and services, including, but not limited to:
o Providing expert guidance and value-added support to ensure our Microsoft environment remains fully operational, secure, and up to date including;
1. Providing recommendations on best-value licensing models; and
2. Provide licensing strategy advice and cost-saving opportunities;
o Providing pre- and post-transaction assistance related to provisioning Microsoft products and services;
o Managing Microsoft volume licensing and other Microsoft programs and engagements;
o Facilitate the annual renewal processes, including reminders and coordination of "trueup" activities under Microsoft enrollments and/or agreements;
o Facilitating direct product ordering with online/invoice verification;
o Facilitating engagement with Microsoft solutions specialists for software inquiries and assistance;
o Providing on-demand, exportable reports on purchases, licensing, invoicing, and true-up history;
o Providing timely updates on licensing changes; scheduled meetings via teams or onsite; and
o Providing portal for ordering products, receiving license proofs/invoices, and reporting.
- Licensing Solution Provider Services
• Assist the city with all aspects of providing essential third-party applications like adobe and TeamViewer products and services (the “products”), including, but not limited to:
o Providing expert guidance and value-added support to ensure the city maintains efficiency and continuity across its technology landscape;
o Providing pricing quotation(s) for requested products on an as-requested basis;
o Facilitating the city’s purchase of the products;
o Providing pre- and post-transaction assistance related to provisioning of products;
o Ensuring delivery of the products by either providing the products or ensuring applicable vendor provides the products to the city directly; and
o Providing account and client relationship management services between the city, the supplier and applicable vendor to ensure the products are provided to the city as intended, which shall include, at minimum;
1. Resolving issues related to the products;
2. Or, if the supplier cannot resolve such issues to then escalate to applicable vendor for resolution; and
3. Provide or facilitate resolution of issues.
