The Vendor is required to provide salesforce education cloud solution focusing on optimizing recruitment and admissions while establishing a scalable foundation for the entire student lifecycle.
- Solutions for the implementation of a new education cloud org, utilizing EDA, person and business accounts, and a unified funnel reporting model to support recruiting → admissions → student success → advancement.
- Requirement:
1. Data governance setup
• Review and provide feedback on established data governance council, defined cadence, charters, escalation processes, and RACI matrix, ensuring it is aligned with university policies
• Data quality and compliance must follow higher education standards such as FERPA and GDPR
• Create and document data validation and duplicate rules and provide data quality dashboards
• Provide a data governance playbook that documents standards, field dictionaries, duplicate logic, and change control
2. Recruitment and admissions
• Setup EDA architecture utilizing person and business accounts
• Build a cohesive program enrollment lifecycle including applications
• Implement funnel visibility across all programs
• Provide comprehensive reports for funnel visibility, cohort-based tracking, demographics analytics, and year-over-year benchmarking
• Implement source attribution framework and set up campaign attribution modeling
• Deliver 12-15 role-based dashboards for recruitment staff and leadership
• Set up automations and alerts
3. Marketing cloud account engagement migration
• Connect to education cloud ensuring:
o Existing form handlers are connected and updated for website forms
o External social media marketing sources are connected and updated
• Transfer and rebuild segmentation lists, content templates, email templates, and files
4. Data quality and migration
• Create and provide a data mapping workbook
• Provide a cleansing plan that will:
o Reduce missing record types to less than 500 at go-live
o Eliminate 95% of duplicate accounts and contacts
o Achieve a data quality score of greater than 90% on initial post-launch audit
• Complete two successful mock migrations prior to production cutover
• Create a final cutover plan
5. Integration enablement
• Provide a technical design document for each integration
o Sis (banner) - one way import into education cloud
o Liaisons business as (application system) - two-way integration
o Microsoft outlook and Einstein activity capture
• Specify secure authentication methods and error handling and logging strategies
• Define integration sync frequencies, trigger logic, and fallback and error handling workflows
• Propose middleware only if justified for scalability or real-time requirements
6. Change management and training
• Create a change management and training plan including stakeholder analysis, training materials by role, and governance council enablement
• Describe how adoption success will be measured
• Provide knowledge transfer to mays salesforce team during work and upon completion of scope
