University Athletic Operations Software Platform and Related Third-Party Administrator Services

The Vendor is required to provide a comprehensive operations platform for the university’s act division I athletics department use in the management of academics, act compliance, communications, sport performance and nutrition, and related topical areas.
- Provide third-party administrator services for Name, Image, Likeness (NIL) and revenue-sharing contracts, and the administration of associated athlete payments.
- Recruiting and Compliance Management: tools for the management of recruitment processes and act compliance requirements program-wide
o    Lifecycle tracking of athletes from camper to recruit to student-athlete to alumni/donor
o    Integration with campus systems: Admissions, Registrar, and Financial Aid
o    Workflow management and data aggregation
o    Recruiting communications record management
o    Act compliant reporting, monitoring, and filing tools
o    Financial aid data management and compliance tools
o    Team scheduling and calendar management
o    Academic data compilation
o    Complimentary event ticketing management and administration
- Team Communications and Document Management: tools for communication and operations information sharing among coaches, student-athletes, and staff
o    Scheduling, delivery, tracking, storage, and cross-platform synching of all message types
o    Document sharing, storage, and access tracking (scouting, playbooks, team information, etc.)
o    Develop, maintain, and track central team calendars (practice, meals, meetings, itineraries, etc.)
- Academics Management: tools for oversight of student-athlete academics
o    Academic support management, tracking, communications, and reporting
o    Faculty communications and notifications management
o    Assignment tracking
- Social Media and Name, Image, Likeness Management: tools for management, education, and training for student-athletes and department on social media and NIL
o    Data and digital content storage
o    Content management, migration, and distribution functions
o    Social media integration, content sharing, tracking, and metrics
o    NIL facilitation, disclosure, reporting, tracking, and compliance
o    Training, support, and education on related topics
- Student-Athlete Well-being and Nutrition Development: tools for all aspects of student-athlete well-being, performance, and nutrition:
o    Body composition data collection, trend analysis, and aggregation for student-athletes and dieticians
o    Meal, recipe, ingredient, and nutrient planning and logging
o    Integration with university Dining Services for student-athlete mobile food ordering and nutritional analysis
- Athlete scouting and Assessment: track prospective student-athletes and associated performance data
o    Athlete profile access, tracking, and analytics
o    Athlete grading, report, and list development and management
o    Digital scouting database and board
- Third Party Administration: management of Name, Image, Likeness and revenue sharing agreements and secure payment processing services
o    Team-level revenue sharing budget development, earning allocation planning, and scenario review
o    Student-Athlete/Institution licensing agreement management, tracking, and reporting
o    NIL and revenue sharing agreement payment administration, tax withholding, and reporting
o    Documentation preparation for tax and act compliance
o    Development of student-athlete resources on financial literacy, branding, and NIL or revenue sharing agreement best practices.
