The Vendor is required to provide for the provision of multi venue ticketing and box office management system.
- The ticketing solution must have a modern, customizable online interface and reporting features that allow for data tracking, marketing and demographic information, sales and revenue reports (automatic sales report emails to clients that have booked the venue), attendance reports, site activity (e.g. if cart is abandoned, automatically following up with the customer) that is state compliant.
- The solution must cover all ticketing management including but not limited to the following:
• Customer information – ability for customers to create their own accounts, reset their own password online, view their ticket purchase history, transfer tickets to another customer
• Ticket inventory management
• Show online event information with availability seat maps (seat maps to include extra facility features such as stairs, accessible seating, exits, elevation etc.)
• Allow online transactions with integrated point of sale with integration to the global payments processor to ensure easy refund options.
• Enable secure and user-friendly online purchasing, transfers and refunds
• Online printing of tickets
• Downloadable e-tickets (option to be apple or google wallet compatible)
• Subscription ticketing
• Complimentary tickets
• Ability to create different pricing structures
• Gift certificates – virtual or hardcopy
• Donations & fundraising
• Memberships
• Mobile service to scan tickets on site at venue
• Process the box office routines
• Flexible and user friendly administrative functions necessary to effectively manage the box office operation such as ticket purchasing, refunds, transfers, ticket exchanges, setting up subscriptions and different pricing structures, flexible promotional codes, hold or block seats, registration prompts/pop-ups, editing show information once tickets are live (seating capacity, timing, description etc.), being able to put notes on client accounts (seen only by box office), duplicate account management, different level of permissions and access for staff and clients to the back end of the program.
• Marketing and communication tools including customizable communication/email or text with automation
• Options for customers to resell, repost or offer their own tickets to other customers would be welcome
• Event cancellation - email and track refunds
• Hard copy tickets using agency ticket printers for printing at box office locations
