The Vendor is required to provide a solution to support management of electronic veterinary health records (VEHR) for their program.
- Solution should provide, at a minimum:
• User-friendly, secure web-based solution that can be accessed and used on a range of devices
• (e.g., desktop, tablet, phone).
• Support for offline entry of sick animal reports, daily care logs, or similar smart forms with automatic synchronization when WIFI connection is restored.
• Robust search and tracking capabilities, including both resolved and in progress animal records.
• Support for a wide range of species, including versatility in how individual animals are identified within a health record or case (e.g., must be able to identify multiple animals in the same cage location and allow for flexibility in nomenclature system such as a free text ID field).
• Dynamic, configurable, and customizable smart forms, templates, and/or data entry screens to manage workflows, such as entry of SOAP notes, service and procedure requests, and sick animal reports.
• Workflow automation to support routine tasks, including procedure scheduling, team coordination for procedures, and generation of daily case and treatment lists sortable by facility and responsible party.
• Secure document management and version control.
• Automated notifications and correspondence; ideally configurable and customizable with regards to notification content and recipients, and thresholds for sending.
• Flexibility of billing configuration for individuals, groups, and projects according to billable types.
• Integration with university NetID Single Sign-On (SSO) and other campus systems (e.g., IACUC, animal operations, facilities, Workday)
• Integration with diagnostic and analyzer hardware such as blood analyzers and Bio fire assay analyzers.
• Ability to import various flat files in multiple formats (e.g., clinical or research test results, genotyping data).
• Reporting and analytics (including compliance and audit trails), including ability to routinely extract bulk data for internal analysis and manipulation.
• Compliance with federal, state and university data security, privacy, and accessibility policies and standards, ideally supported by 3rd-party audits (e.g. SOC 2, ISO 27001, PCI DSS).
- Solutions will streamline clinical and record management workflows, enhance regulatory compliance, enable integrations with other institutional systems, and improve the experience for researchers and staff in program.
